Welcome to Aspiring Smiles Dental. By engaging with our dental services, you agree to the following Patient Terms and Conditions. These terms ensure clarity in our services and help us provide you with the best care possible.

Privacy and Confidentiality

Your privacy is important to us and is governed by our Patient Privacy Policy. We maintain strict confidentiality regarding your personal and medical information.

  • Recording devices, including phones, tablets, and cameras, must be turned off inside treatment rooms to protect patient privacy and prevent interference with equipment.
  • Communication regarding treatment and appointments is only conducted with the patient or their legal guardian.
  • Treatment-related matters will not be discussed via email for privacy and security reasons. For any treatment inquiries, a face-to-face consultation with our dentists is required.

Appointment Policy

Booking and Confirmation

  • Appointment bookings can be made online, by phone, or in person.
  • We might send appointment reminders via SMS or phone call; however, failure to receive a reminder does not exempt you from attending your appointment.
  • If an appointment is not confirmed, it may be rescheduled without notice.

Cancellations and Late Notice Fees

  • Standard Appointments: Cancellations require at least 2 business days’ notice.
  • Major Appointments: Cancellations require at least 5 business days’ notice.
  • In case of illness, please notify us as soon as possible. A medical certificate may be required to waive cancellation fees.

Missed Appointments

  • If repeated missed appointments compromise treatment success, we may discontinue care and refer you to another provider.

Financial Policy

  • Treatment Estimates: We provide upfront estimates for all treatments. However, fees are subject to change based on treatment progress or unforeseen complications.
  • Payment Methods: We accept cash, EFTPOS, Visa, Mastercard, Amex, and direct bank transfers (must be received 3 days in advance).
  • Health Fund Claims: We process health fund claims via HICAPS. Any unpaid balances remain the patient’s responsibility.
  • Outstanding Payments: Unpaid invoices beyond 30 days may be referred to a debt collection agency, with additional collection fees applicable.

Complex & Aesthetic Treatment Terms

Complex Treatment Plans

  • Pre-payment deposits are required for large treatment plans before appointment scheduling.
  • Deposits are non-refundable once laboratory work has commenced.
  • If treatment is not completed within 3 months of the preparation appointment, additional fees may apply.

Aesthetic and Implant Treatments

  • Aesthetic treatments, including veneers and cosmetic dentistry, involve careful planning. If a patient wishes to make changes post-treatment, additional costs will apply.
  • Dental implants require a minimum 3-month osseointegration period before placement of the final restoration. Immediate temporary solutions may increase failure risk.
  • Implant treatment success depends on factors like oral hygiene, gum health, and smoking status. Ongoing maintenance is essential for longevity.

Warranty and Adjustments

  • General Treatment Warranty: If a material or workmanship issue arises within 12 months, we will assess and, where applicable, assist in correcting the concern at a reduced cost.
  • Crown, Veneer, and Bridge Warranty: Full zirconia, Emax, or titanium-supported restorations are warrantied for 5 years, provided the patient maintains six-monthly check-ups and wears a prescribed night guard.
  • Dental Implant Warranty: Implants that fail to integrate within 12 months will be replaced or refunded under certain conditions (e.g., no smoking history, no medical contraindications).

Records and Transfers

  • Patients may request copies of their dental records. A signed release form is required.
  • Records are typically sent via email in a password-protected PDF, but patients concerned about security may request physical collection or registered post.
  • A transfer fee may apply for detailed records.

Referral to Specialists

Some treatments may require referral to a specialist. While we assist in coordinating referrals, the cost and terms of specialist treatments are independent of Aspiring Smiles Dental.

Amendments to These Terms

Aspiring Smiles Dental reserves the right to update these terms periodically. Any updates will be available on our website.
